Answers to common questions and step-by-step guides for running your studio on felyx-photos.
Getting started
Set up your studio and take your first booking.
What is Felyx Photos?
Felyx Photos is booking, payments and photo delivery for photographers, in one place. Your studio gets a website with your services and prices, clients book and pay online, and you deliver their photos in a private gallery.
You can use it for portraits, weddings, real estate and more. Start free and add a paid plan when you need more storage or features. The pricing page lists what each plan includes.
Do I need my own website?
No. Every studio gets its own site at an address like yourstudio.felyxphotos.com, with your services, prices and booking built in. You can edit it from the Home page screen in your dashboard.
If you already have a website, you can link to your booking page from it. Plans that include it also let you use your own domain. See Connect your own domain.
How long does setup take?
Most of it is quick. The setup checklist on your dashboard Overview shows exactly what is left:
- Connect Stripe to get paid
- Add your logo and colors
- Add a home page photo and examples of your work
- Review your services and prices
- Set your hours
- Share your booking link
Connecting Stripe takes about 5 minutes, and you will want your bank details and tax ID handy. Step-by-step help: Set up your studio.
Bookings and payments
Deposits, automatic payments, refunds, gift cards and discount codes.
Where does my clients' money go?
Clients pay you directly. Payments go into your own Stripe account and on to your bank, so you stay in control of your payouts.
Stripe's processing fees come out of each payment. Some plans also add a booking fee on each payment, and others have none. The pricing page shows the fee for each plan.
Can I take a deposit instead of the full price?
Yes. When you edit a service, open the Booking and payment section and choose Deposit at booking, balance later. Then set the deposit percentage. The client pays that amount when they book, and the rest comes later.
The other choice is Paid in full at booking. You can set this separately for each service. See Set up a deposit and automatic payments.
How do automatic payments (installments) work?
On a service that takes a deposit, you can split the balance into a number of automatic card payments. When they book, the client agrees to automatic payments and their card is saved, and the payments are taken on a schedule. The last one is taken a set number of days before the shoot. You choose that number in the service settings.
You can see the schedule on the booking, and you can stop the remaining automatic payments there if you need to. If you leave installments at 0, you request the balance yourself.
How do I ask a client for the balance?
Open the booking in your dashboard. In the money section you will see the balance and an option to email the client a payment link. The client can pay by card from that link.
If a client has payments that are overdue or failed, the Customer billing page lists them and can send a reminder to everyone who owes money.
How do I cancel a booking and refund a client?
Open the booking and choose Cancel this booking. There is a checkbox to refund what the client has already paid, and you can add a note that is sent to the client. If you leave the box unticked, the booking is cancelled without a refund.
Payments that are still waiting, or card holds that were never charged, are cancelled or released automatically. Delivered bookings can't be cancelled this way.
How do gift cards work?
You make gift card codes in your dashboard, print them and sell them however you like. A client types the code when they book or order prints. Whatever is not spent stays on the card for next time, and cards never expire.
Making gift cards is part of plans that include it (see the pricing page). Cards you have already made keep working if you change plans.
How do discount codes work?
Make a code in Discount codes, such as a seasonal promo or a thank-you for a referral. Choose the amount or percentage off, which services it covers, and optional start and end dates. You can limit it to once per client.
Clients enter the code on the booking page. A use is held as soon as someone books with it, and given back if they don't finish paying or the booking is declined or cancelled. You can turn a code off at any time.
Photos and delivery
Proofing, delivering photos and video, and how long clients can download.
How does proofing work for my client?
On a service set to Proofing: the client picks their favorites, the flow looks like this:
- You upload your camera originals (RAW files) and send the ones you choose for proofing.
- The client sees small previews, hearts their favorites and can add notes for the editor.
- You edit the photos they chose and upload them.
- The client reviews the edited photos with a watermark, then accepts them or sends some back with notes.
- Accepted photos are unlocked and delivered.
Clients never get the RAW files. For your side of this, see Run a proofing gallery.
How many photos can a client pick?
Each service has a number of photos included in its price. A client can pick that many for free. If they want more, extra photos cost the per-photo price you set on the service, and the client pays for them before they are unlocked.
You set both numbers in the Photo delivery section of the service.
How long can clients download their photos?
Clients can download their photos for 60 days after delivery. The client's account shows how many days are left. After that, the photos are deleted from their account and from your storage, so tell your clients early if you want them to keep their own copies.
They can download everything at once as a zip, or one photo at a time. Video is kept for 60 days too.
Can a client download before paying the balance?
No. Photos and videos can be downloaded once the booking is paid for. If a balance is still owed, the client sees a message asking them to pay the remaining amount, with a payment link, and downloads open as soon as it is paid.
How do I deliver video?
Turn on Video is included in this package on the service. Then, in Photo processing, upload the final videos and send them to the client. The client gets an email and downloads the videos from their account once the booking is paid for.
Video is simpler than photos: there is no proofing or preview. Raw videos are for your team only. Sent videos are kept for 60 days, and sending updated videos starts the 60 days again.
Can clients order prints?
Yes, with the print store. Clients order prints, canvases and albums made from their delivered photos, right from their gallery. You set your own products and prices and get paid to your Stripe account when clients order.
Set it up from Print store in your dashboard. How it is included in your plan is shown on the Plan & storage page.
Your site and domain
Your home page, booking page and your own web address.
Can I use my own domain?
Yes, on plans that include a custom domain (see the pricing page). Your site is always available at your Felyx Photos address, and you can also point a domain you own, like book.yourstudio.com, at it.
In Settings > Domain you choose who runs your DNS, enter the domain, and add two records where you manage DNS. We check automatically every hour and set up the HTTPS certificate for you. Steps: Connect a custom domain.
Should I use a bare domain or a subdomain?
A bare domain is the domain itself, like yourstudio.com. A subdomain has something in front, like book.yourstudio.com.
A subdomain works with every DNS provider, so it is the safest choice. A bare domain works with some providers, including Cloudflare, Namecheap, Porkbun and DNSimple. GoDaddy doesn't support a bare domain for this, so with GoDaddy use a subdomain such as book.yourdomain.com. The Domain screen shows the exact records for the provider you pick.
Should my domain open my landing page or my booking page?
You choose in Settings > Domain, after the domain is connected.
- My landing page is your full website: photos, about, packages and contact.
- A booking page shows just your packages to pick from, then the usual booking and checkout. This suits a domain you use only for booking, for example when your main website is somewhere else.
Either way, the booking page is always also at your-domain/book/ and the landing page at your-domain/home/.
Clients and marketing
Your client list, opt-ins, reports and your data.
How do clients opt in to emails and texts?
At checkout, clients see an optional Stay in touch section with two boxes: email me news and offers, and text me news and offers. Texts need a phone number. Nothing is ticked on their behalf for new clients.
On the Clients page you can filter your list to clients who opted in to email, text or either, and the data download shows when each client opted in.
Can I download my client data?
Yes. The studio owner can use Download data on the Clients page to get a ZIP file of spreadsheets (CSV) with clients, bookings, payments, store orders and inquiries. Money amounts are in the smallest unit of your currency, such as cents or pence. Photos are not included; download those from each booking.
The file contains your clients' personal details, so keep it safe.
What reports can I see?
Reports shows bookings and income by year: income collected after refunds, average booking, repeat clients, and breakdowns by month and by service. You can download it as CSV.
Customer billing shows who owes what: collected, outstanding balances, overdue or failed payments and scheduled payments, with a CSV download.
Account and security
Plans, team members and signing in.
Which plan do I need?
Plans differ in storage, team size, booking fees and features like your own domain and gift cards. The pricing page always shows the current details. You can start on the Free plan and change plans later from Settings > Plan & storage, where you can also see how much storage you have used.
Paid plans may start with a free trial. The pricing page says which.
Can I add my team?
Yes, on plans with team seats. In Team, invite photographers, second shooters and assistants by email, assign shoots, and let each person see just their own schedule. The number of seats depends on your plan, and you can remove or restore people at any time.
If your team is full, the Team page tells you. Extra team members may be available as an add-on on paid plans.
I forgot my password. What do I do?
Go to the log in page and choose the password reset option. We email you a link to set a new password. If the email doesn't arrive, check your spam folder, and make sure you use the same address you signed up with.
You can't see your password, for your safety. If you still can't get in, contact us.
Support
How to reach us.
How do I contact support?
Use the contact form and tell us what you need. If you are signed in to your dashboard, the ? Help menu also has an Email support option. We usually reply within a day.
It helps to include your studio address and what you were trying to do when something went wrong.
My client needs help with their booking or photos. Who do they ask?
Clients should contact you, their photographer. They can message you from their account, and you will see it in Messages in your dashboard. Questions about the Felyx Photos platform itself, like a technical problem, are welcome at our contact form.
